What business process automation consulting means here

What it is

A process is a chain of decisions and handoffs. Before automating it, we write down each step, who does it, which system holds the input and what happens when the input is wrong. Half the value often comes from removing steps nobody needed.

We then automate the stable parts, put a human at the decision points that need judgment, and give every exception a path. Someone reviewing a one-click exception queue works quicker than someone re-typing every record.

This differs from RPA screen scraping. We prefer APIs and structured data, and use AI where the input is unstructured, such as documents and emails.

Is this the right fit?

Fit check

Where this wins

Document-heavy back-office processes

Invoices, delivery notes, forms and compliance paperwork that people read and re-type before anything moves forward.

Processes that cross three or more systems

Where data is copied by hand between a CRM, an accounting tool, spreadsheets and email.

Processes with compliance steps

Where every action needs a record and certain steps must stay with a named person.

  • Document-heavy back-office processes Invoices, delivery notes, forms and compliance paperwork that people read and re-type before anything moves forward.
  • Processes that cross three or more systems Where data is copied by hand between a CRM, an accounting tool, spreadsheets and email.
  • Processes with compliance steps Where every action needs a record and certain steps must stay with a named person.

When NOT to use this

  • The process changes every month. Stabilize it first, or automate only the parts that stay put.
  • Volume is tiny. A process run twice a week rarely repays a build.
  • You want people replaced entirely on judgment-heavy decisions. We automate the routine and keep humans on the decisions.

How a process automation project runs

How it works

One process at a time, mapped honestly, built end to end, and only widened once it has a track record.

Typical timeline

Four to eight weeks for a single end-to-end process, scoped after the audit call

Stack we build with

n8n · Python · TypeScript · Claude · OpenAI · PostgreSQL · Supabase

// 01

Pick and name the owner

Choose one process, name who owns it, what feeds it and what a good outcome looks like.

// 02

Map and redesign

Map steps, systems, access and exceptions using a sandbox or sample data, then cut what is not needed.

// 03

Build end to end

Automate the stable path, add decision points for people, and build the exception queue.

// 04

Run on real examples

See how it fails on real cases and fix before widening.

// 05

Hand over

The team that owns the process runs it day to day, with monitoring and a support path.

  • 01 Pick and name the owner Week 1 Choose one process, name who owns it, what feeds it and what a good outcome looks like. Deliverable Process charter with owner and success measure
  • 02 Map and redesign Week 1 to 2 Map steps, systems, access and exceptions using a sandbox or sample data, then cut what is not needed. Deliverable Current and target process maps
  • 03 Build end to end Week 2 to 6 Automate the stable path, add decision points for people, and build the exception queue. Deliverable Working automation with audit log
  • 04 Run on real examples Week 6 to 7 See how it fails on real cases and fix before widening. Deliverable Test report and fixes
  • 05 Hand over The team that owns the process runs it day to day, with monitoring and a support path. Deliverable Runbook, alerting and support plan

Processes we automate most often

Use cases

Legal & Compliance Automation

Saved €10K in Fines

Marketing Operations Automation

Creative Automation

Invoice and delivery note processing

Read, match and post documents automatically, with unclear cases sent to a reviewer.

E-invoicing and VAT compliance

Compliance steps automated end to end so paperwork stops eating time on every job.

Content and campaign operations

Assets classified and briefs turned into scripts faster, on a repeatable pipeline.

What you have after 30 days

First 30 days

You see the process on paper and a working slice of it.

Process charter

Week 1

One process, one owner, one measure of success, agreed in writing.

Current and target maps

Week 2

Every step, system and exception written down, with the steps we recommend removing.

Working slice

Week 3 to 4

The stable path automated on sample data, with the exception queue in place.

Go or adjust decision

Day 30

A review of the slice on real examples and a clear plan for the rest.

Scope and exclusions

Scope

In scope

  • Process mapping including exceptions and failure cases
  • Redesign recommendations before automation
  • End-to-end build with an exception queue and audit log
  • Monitoring, alerts and a runbook

Not in scope

  • Replacing your ERP or core systems
  • Headcount or organisational restructuring advice
  • Screen-scraping legacy tools when an API or export exists
  • Processes without a named owner

Results from comparable work

Results

Achieved results only. Clients that have not agreed to be named are described instead.

Delivery notes and invoices are read and matched automatically. Only the genuinely unclear cases reach a person, and the review team went from re-typing everything to spot-checking exceptions.

Electronic invoicing and subcontractor VAT compliance automated end to end, plus an AI that answers far more inbound calls and leads than the team could handle manually. The client captured roughly €1.3M in revenue over six months, largely from customers who found them through AI search tools.

Over 1,200 content assets classified into a usable dataset across five markets, briefing-to-script time cut by eight days, and a campaign builder now running their content pipeline.

How this is priced

Pricing

We do not sell fixed packages sight unseen. The number depends on how many systems the work touches, and the audit call tells you that number before you commit to anything.

Single workflow

Low four figures

One focused workflow live in one to two weeks, with error handling, retries and monitoring built in from day one.

Full system

Scoped after an audit call

AI steps, monitoring and integrations across several systems, typically four to eight weeks. No template price, because scope drives the cost.

Embedded engineer

From $60,000/year

A dedicated engineer building and maintaining the work inside your team, instead of a scoped project.

What does an AI automation consultant do?

An AI automation consultant decides which steps of a process software can take over, then designs and builds that automation. Here that means mapping the process with its exceptions, cutting steps nobody needs, automating the stable path with tools like n8n or Python, using AI models only where the input is unstructured (documents and emails), and handing over with monitoring and a runbook.

Is this the same as RPA?

No. RPA mimics clicks on a screen and tends to break when the interface changes. We prefer APIs and structured exports, and use AI models where the input is unstructured, such as scanned documents and emails.

What happens to cases the automation cannot handle?

They land in an exception queue with the context needed to resolve them in one click. The review team spot-checks exceptions instead of retyping every record.

How do you choose which process to start with?

We look for high frequency, several systems involved, a clear definition of done and a named owner. The first process needs to be one your team will notice when it works.

What does it cost?

Single focused workflows start in the low four figures. Full end-to-end processes across several systems are scoped after an audit call, because the honest number depends on how many systems and how much logic is involved.

Will you maintain it afterwards?

If you want us to. Monitoring, fixes and updates run under a maintenance plan, or your team runs it from our runbook.
